Four stages by default, from new applicant to job offer. Rename, add or remove them – every position can run its own way.

The whole team, no seat fees

Users are always unlimited. The managing director, the team lead and the bookkeeper can all take a look – we don’t sell seats.

Reply templates

Interview invitations, rejections, application confirmations. The candidate’s name and the position are filled in for you – you only add what’s personal.

An archive, not a delete button

A closed position moves to the archive with its candidates and notes. Next time you hire, your last search is still there.

Open positions on your own website

An ad on a job board brings candidates in – and then comes the work the board has nothing for. Värba is that other half, for a fraction of the price of an ad.

Your candidates are yours

One button downloads everything: names, contact details, answers, notes and CVs. On every plan, including the free one. Leaving us should never cost more than joining.

Everyone gets a reply

Select forty candidates, write one polite email and send it. Each name is filled in for you. A candidate left without a reply reflects on the employer, not on the software.

To be fair: we don’t have the candidate database job boards have spent twenty years building. If an ad needs the widest possible reach, a job board is still a good place for it. Värba is what happens after someone applies – and the place you can take your candidates out of at any time.

Prices exclude VAT. We switch on your first paid plan ourselves – it usually takes one working day – and after that everything runs on its own, with one invoice a month. Candidates who have already applied always stay available: if you hit your limit, you can’t open a new position, but we never lock away the candidates you already have.

Data and legal

A CV is some of the most sensitive personal data there is

You’re responsible for your candidates’ data. Our job is to make that responsibility easy to carry – without a meeting with your lawyer before your first ad.

Data stays in the EU

The application, the database and the backups all run on servers in the EU. Files – CVs and attachments – are kept separately in private storage, and only the application hands them out.

You are the controller

The employer is the controller of candidates’ data and Värba is the processor – exactly as the GDPR intends.

The data processing agreement is already in place

No round of negotiations before your first ad. The agreement is part of the terms and applies from the moment your account is created.

No cookie banner

We don’t use tracking cookies. Visitor statistics are anonymous and can’t be used to identify anyone.

Deleting is a button, not an email thread

When a candidate asks for their data to be deleted, you do it yourself, straight away, without writing to us. Their CV goes too.

Only your team gets in

We don’t store passwords in readable form – not even we can see them. You can see which devices are signed in to your account and sign them out. Instead of a password, you can sign in with your fingerprint or face.

Who else handles the data

The full list of sub-processors, with the data involved and where it is processed, is in the data processing agreement. We give advance notice of any new provider.

Frequently asked questions

Questions people usually ask first

Do I need to add a card straight away?

No. The free plan doesn’t ask for a payment method and has no trial that runs out. We switch on a paid plan only when you ask for it, and you’re invoiced afterwards.

What happens if I don’t hire anyone for six months?

Nothing. The free plan has no end date – your account, your position history and past candidates all stay. That’s exactly why we don’t do trials: a countdown would punish the very people who hire rarely.

Is the app itself in English?

Yes. The dashboard is available in English, Estonian and Russian – you choose in your account. Candidates see the ad, the form and your emails in whichever of the ad’s languages suits them.

How many people can use Värba?

As many as you need – the number of users is never limited or charged for. Recruiters see every position and candidate; admins can also manage the organisation and the team.

Do candidates need to create an account?

No. They open the link, fill in the form, attach a CV and that’s it. No sign-in and no password – that’s the step where most applications drop off otherwise.

Does Värba replace job boards?

No, and it isn’t trying to. A job board brings people in; Värba is where they land. The ad link works just the same on a job board, Facebook, LinkedIn or your own website.

How do ads in several languages work?

A position can have content in six languages: English, Estonian, Russian, Finnish, Latvian and Lithuanian. Candidates see the ad and the form in their language, while you manage a single position. Translate by hand on any plan, or let machine translation do it.

I run several companies – do I need several accounts?

No. Each company is a separate organisation with its own ads and candidates, but you switch between them in one click, and billing can go to a single payer if you like.

How much is a second position at the same time?

€29 excluding VAT per 30 days, and the 30 days start when you open it. Within that time you can swap or pause positions at no extra cost.

What happens to my data if I leave?

You can export it first. Once the agreement ends, we delete your data within 30 days – except what the law requires us to keep for invoices.
